Stop moving accounting
data by hand.

We build custom Xero and MYOB integrations for business owners and finance managers who need more than an off-the-shelf connector. You tell us where the data needs to end up, and we design it, build it, host it, and keep it running.

Moving data by hand is expensive.

Whether it's syncing between Xero files, importing from an external system, or just getting data from A to B, most businesses we talk to are still doing it manually.

Here is what they tell us on the first call. If one of these sounds like your business, we have built for it before.

"Our system doesn't talk to Xero"

Integration gap

Your system of record handles the day-to-day: POS, payroll, invoicing, CRM. But getting that data into Xero properly means someone does it manually, because the built-in integration is too basic or doesn't exist.

"We're entering the same data twice"

Manual work

Every month, someone exports from one system and manually enters it into another. It's the kind of work people stop noticing, until it stops happening.

"The data doesn't look how Xero needs it"

Data mismatch

Your external system represents transactions one way. Xero needs them another. Someone has to reshape, remap, and reformat the data every time, often with attachments, tax codes, or tracking categories that don't carry across.

"Something doesn't tie out, again"

Error risk

A wrong figure in one file throws off the next. By the time anyone catches it, it's already in a report someone has acted on. Manual data entry means manual errors, and they compound.

"Month-end takes days, not hours"

Reconciliation

Each new entity or data source adds to the manual reconciliation burden. Your team is drowning in spreadsheets. Growth makes the problem worse, not better.

"Only one person knows how this works"

Key person risk

The spreadsheet only the bookkeeper knows how to update. The macro nobody documented. The process that breaks when they go on leave, or when they retire.

"The better integration is paywalled"

Cost

Your system of record offers a Xero connector, but it's locked behind a higher tier, or it forces multi-entity licensing you don't need. You shouldn't have to upgrade your whole stack just to move data.

"We can't get a view of exactly what we need"

Reporting

The number you want sits across two systems, or across four entities, so nobody can answer the question without exporting to a spreadsheet first. The standard reports are close, but never the shape you asked for.

If you can describe it, we can build it.

The limit is what your other systems can give us, and that's the first thing we work out on a call. If we can't make an integration reliable, we'll tell you rather than build it.

We do the work for you rather than hand you a toolkit. We scope your integration, build it on a platform we've refined over years, and run it for you. The flexibility sits in what we build, and not in screens of settings you have to learn.

Xero to Xero

Sync subsets of data between Xero organisations: invoices, contacts, journals, payments. Define which records move, apply rules, and let the integration run on schedule or in real time.

Common with multi-entity businesses running regional or departmental Xero files, where each division has its own org but data needs to flow between them.

External system with no API to Xero

Plenty of systems have no API but can still produce a data export. That is enough. Your system drops a file, we map your format to Xero's structure, validate it, and sync it automatically.

Your team uploads files via SFTP or a secure portal. New files are picked up and processed automatically. This is a managed, recurring workflow, not a one-off import.

Many Xero files to one consolidated feed

Pull the same report from every Xero organisation you run, line them up on a common chart of accounts, and publish the result as a single feed.

That feed goes wherever your analytics live: Power BI, Looker Studio, a warehouse, or a dashboard we build for you. Group reporting stops being a monthly spreadsheet exercise.

Core components

The foundations every integration needs, already built, so your investment goes straight to solving the actual problem.

Hosted Xero & MYOB OAuth
We host the consent flow and keep tokens refreshed, so a server-to-server sync needs no web app of your own and no paid Xero custom connection.
Scheduling
Run as often as every minute, with time windows, day-of-week rules, and timezone support.
Filtering & rules
Control exactly which records sync by type, account, tracking category, or custom rules.
Field mapping & transforms
Map fields between systems, convert tax rates, strip unsyncable data.
Deduplication
Automatically detects and skips duplicate records across runs.
Run modes
Production, test, or dry run. Validate safely before going live.
Error handling & alerts
If something breaks, we know first. You get notified too.
Detailed logs
See exactly what the integration did, record by record, run by run.
Secure upload portal
Your team uploads files directly. New data is picked up automatically.
Rate limits & retries
Xero and MYOB both throttle, so runs pace themselves, back off when told to, and resume where they stopped.
Optional add-on

See the numbers without building the report.

Every integration ships with a dashboard for the integration itself: what ran, what it moved, what failed. That one is standard, and it is the screen at the top of this page.

Custom dashboards are the step past that. You define the workflow you want to see, and we build the view for it: revenue by client, quotes in progress, group numbers across entities. Each one pulls live from the systems you already have connected, so nobody exports a spreadsheet to answer the question.

Dashboards are built to your spec, the same way integrations are. Tell us the question you keep asking your accounting system, and we build the view that answers it.

What our customers stopped doing by hand.

The integrations we build save our customers huge amounts of time, and let them spend it on moving the business forward instead of on compliance.

Easy Data Sync allowed us to reduce significant time and error in manual reconciliations across multiple Xero files, and in turn, we can also provide a better customer experience for billing.

Work that took days every month now runs on its own every weekday.

Revenue across 20+ Xero organisations had to be redistributed by the customer's home location, then accrued and deferred by month.

Cosmetics wholesaler

An hour of data entry a day is now a one-minute sync.

Someone spent about an hour a day moving transactions into their New Zealand entity, and it was prone to delays. Nobody touches it now.

Debt collector

Several hours a week became a one-minute import.

Getting data out of their debt collection software and into Xero used to take several hours a week. They now run the import whenever they need it.

Start with a conversation, not a commitment.

In a nutshell: schedule a meeting with us. We tell you what we can do. If it needs customising, we quote a fixed price up front. Then we help you roll it out carefully and keep it running.

Proposal

What we'd build, how long it takes, and what it costs.

A written document covering the data that moves and in which direction, what we can assemble from components we already have versus what needs custom work, and how long it will take. Pricing is split into the one-off build price, if there is one, and the monthly fee.

Paid discovery → refined proposal

As needed Fixed price
Only when the call leaves too much unknown to quote accurately.

A brief, structured engagement to define scope, usually by reviewing your data directly. It ends with a refined proposal, priced on your real data rather than a guess.

Where our existing components don't cover what you need, we customise them or build new ones.

4

Phased rollout

We go live carefully, starting small and validating as we go.

We introduce the integration gradually. That might be a dry run against live data, a full run against a test data set, or something in between, depending on what your systems allow. For the first week we go through the runs with you until you're confident it's right.

Clear, predictable costs.

You pay a fixed monthly fee, plus a one-off fixed price for any discovery or build work you need. The monthly fee is set by the scope of your integration rather than your record volume or API calls, and the entry price covers up to two Xero organisations.

Why it costs less than a bespoke build.

One client came to us holding a $20,000 quote for a bespoke build. On our platform, every customisation they needed came to $5,720 including tax.

The foundations are already built
Authentication, hosting, monitoring, error handling, and logging already exist. Your build pays only for the business logic on top of them.
Nothing starts from scratch
That client was testing three weeks after we began, where a build from the ground up spends most of its first month on foundations.
You see it running before you commit
We can walk you through demo workflows on the platform, so you watch the scheduling, monitoring, and error handling working before you spend anything. The only unknown left in your project is your own business logic.
The saving funds the subscription
The $14,280 they didn't spend up front covers roughly eight years of the monthly fee at our entry price. Our longest-running integration ran for six.
You defer most of the investment
A bespoke build takes the whole amount before anything runs. Here most of the cost arrives monthly, so the money stays in your business until the integration is earning its keep.
One-off cost, same integration
Bespoke build, quoted elsewhere $20,000
Built on our platform $5,720

About 70% less for the same outcome.

One client's figures. Our total covers every customisation they needed and includes tax. The monthly fee then covers the hosting, monitoring, and support that a bespoke build leaves you to arrange yourself.

Time to a working test
Bespoke build, estimated 10 weeks
Built on our platform 3 weeks

Testing in three weeks , not next quarter.

Three weeks is what that project actually took to reach testing. Ten weeks is our estimate for the same scope built from scratch, where the foundations have to be written before anything can be tested.

Common questions

What is Easy Data Sync?

Easy Data Sync is a managed data integration platform for businesses running Xero, MYOB, or both. The platform provides the proven components needed to build reliable integrations: authentication, scheduling, monitoring, data transformation, and CSV import. Each customer integration is built on that tested foundation. You bring the requirement, and the team builds, hosts, and manages it for you.

How does Easy Data Sync work?

You name the systems to connect and what should happen to the data. The team builds a custom integration to that specification on the Easy Data Sync platform. Once live, the integration runs on a schedule or in real time, with the transformations you need already applied. The team monitors and maintains it for you.

Can Easy Data Sync connect two or more Xero organisations?

Yes. Connecting multiple Xero organisations is one of the most common uses. Easy Data Sync can post accounting adjustments between organisations in one click, combine reporting data across organisations, and synchronise records such as contacts. This removes the manual exporting and re-keying that multi-entity businesses usually do by hand.

How is Easy Data Sync different from Zapier?

Zapier is a self-service tool you build and maintain yourself. Easy Data Sync is a managed service. The team builds each integration to your specification, hosts it, monitors it, and updates it when an API changes. It suits businesses that want the result of an integration without owning another technical asset.

Why is Easy Data Sync less expensive than a bespoke build?

A managed Easy Data Sync integration costs less than a bespoke build because the platform handles the parts every integration needs: authentication, scheduling, monitoring, error handling, and logging. Those are built once and battle-tested. Your integration only adds the specific business logic you need on top, which is faster to build and more reliable to run.

What decides the monthly fee?

The scope of your integration, rather than how much data moves through it. Every integration is different, so we quote the monthly fee with the build. The entry price of $149 a month covers up to two Xero organisations. There are no usage charges, so the fee stays the same as your record volume grows.

Is there a minimum term?

No. The managed service is month to month. Cancel before your next billing date and the subscription ends there.

What does support include?

Keeping your integration running, and answering any questions you have about it. It also covers configuration changes and bug fixes. New functionality is quoted separately as build work.

Do I need technical skills to use Easy Data Sync?

No. Easy Data Sync is a managed service. The team scopes, builds, and maintains each integration for you. You describe the outcome you need in business terms, and the technical work is handled on your behalf.

Why doesn't Easy Data Sync use AI to move data?

Financial data must be exact, and AI models approximate rather than guarantee precision. APIs require deterministic logic: when Xero expects a specific field format, you need code that delivers it every time. Auditability matters too, because when something goes wrong you need to trace exactly what happened. Easy Data Sync uses purpose-built integrations written by engineers, tested thoroughly, with full audit trails and deterministic results.

Is my data secure with Easy Data Sync?

Yes. Data is encrypted at rest and in transit using 256-bit AES, and the platform runs with 99.9% uptime and zero-downtime upgrades. Connections to Xero and MYOB use their official OAuth flows, so your login details are never shared with us. Every run is logged record by record, so you can see exactly what was read and written.

What happens if one of my systems changes its API?

Easy Data Sync monitors every integration. If a software provider changes their API, the team is notified of the change or the resulting error and works with you to build an updated version of the integration. Maintenance is part of the managed service.

How long does it take to set up an integration?

Setup time depends on the complexity of the integration and the systems involved. Standard Xero and MYOB integrations are faster to deploy than bespoke multi-system workflows. After a free chat to scope your requirements, the team can give you a timeline and a fixed quote.

What systems can Easy Data Sync integrate with?

Xero and MYOB are the source or destination for most of our work, and we have deep expertise in both. On the other end we can connect any system with an API, and systems with no API at all as long as they can produce a data export such as a CSV. Easy Data Sync also provides a secure API for putting data in and pulling data out. If you need a connection that does not exist yet, the team can scope and build it.
